If you need to prepare a Basic or Standard sustainability report on the platform, you will find descriptions of the data required for calculation, formulas, and calculation examples for determining ESG key figures for your company.

The report includes the 15 recommended key figures from FSR and Nasdaq.

The ESG key figures are a suggestion of which ESG data may be significant in assessing your company's future business impact. For a more detailed explanation of why these specific key metrics are relevant, you can read FSR's recommendations here.

The calculation formulas are as instructed by FSR in their guidance. Additionally, you will find our recommendations on how to perform the calculations in practice. However, it is crucial that you choose your method and use it consistently each time the figure is calculated so that you can compare results across periods.

Overview of key metrics and calculation methods 

Full-Time Workforce (FTE)

1. Data for calculation

    • Find the number of full-time employees in the company.
    • Find the number of part-time employees in the company.

2. Calculation info, formula, and example

All permanent and temporary employees are included.

FSR - Danish Auditors states that the FTE figure should include:

  • A calculation of the average number of employees, i.e., full-time employees + compensated overtime + converted hourly employees.
  • Temporary employees/temps converted to full-time equivalents. According to the State Administration, everything from employees' paid vacation, absence, sick leave, maternity leave, and compensatory time off should be included in the FTE figure.

Gender Diversity (Proportion of Female Full-Time Employees)

1. Data for calculation

    • Find the number of female full-time employees in the company.
    • Find the number of female part-time employees in the company.

2. Calculation info, formula, and example

    • The figure is automatically calculated on the platform as: (Number of female FTEs/Total number of FTEs) * 100.
    • All permanent and temporary employees are included.
    • The figure shows the percentage of women in the company.

Women on Other Management Levels

1. Data for calculation

    • Find the total number of other management positions in the company
    • Find the number of women in other management positions in the company.
      • Note! "other" management positions depend on the company's structure and can be freely defined by the company. For example, you could define it as all employees with management responsibility.

2. Calculation info, formula, and example

      • The figure is calculated automatically on the platform as: (Number of women in management roles/Total management positions) * 100. This gives you the percentage of women holding management positions.
      • Upper management includes the executive board and employees in leading positions with personnel responsibility and/or professional responsibility. You should choose one approach that suits your company's structure.

Gender Pay Gap

1. Data for calculation

    • Find the median salary for the year for all male employees in the company.
    • Find the median salary for the year for all female employees in the company.

2. Calculation info, formula, and example

    • Calculation: Median male salary/Median female salary.
    • The median is the middle number in a sorted list of numbers from lowest to highest.
      • Example 1: 1,5,7,12,13: the median is 7.

      • Example 2: 6,7,9,12,15,16: the median is (9+12)/2 = 10.5.

      • When calculating the gender pay gap, it is important to note that it is not a percentage being calculated. Instead, it is the ratio calculated from the median values.

Employee Turnover Rate

1. Data for calculation

    • Find the total number of employees (FTE) for the reporting period (12 months in total).
    • Find the difference from the previous reporting period (12 months in total) in the number of employees (FTE).
      • Example of the difference between 2022 and 2023: 2022 = 9.6 FTE → 2023 = 8.6 FTE → difference = 1 FTE.

2. Calculation info, formula, and example

      • The figure is calculated automatically on the platform as: ((All departing employees, both voluntary and involuntary)/Total employees) * 100.
      • The figure is in percentage.
      • Retirees count as involuntary departing employees. We recommend that apprentices and interns not be counted as either voluntary or involuntary departures, as they are still in training.

Customer Retention Rate

1. Data for Calculation

    • Find the number of customers at the end of the reporting year.
    • Find the number of new customers acquired during the reporting year.
    • Find the number of customers at the beginning of the reporting year.

2. Calculation info, formula, and example

      • ((Number of customers at the end of the period) – (New customers acquired during the period))/(Number of customers at the beginning of the period)) * 100.
      • The figure is in percentage.

Sick Leave

1. Data for Calculation

    • Find the number of sick days per full-time employee.
    • Find the number of sick days per part-time employee.

2. Calculation info, formula, and example

      • Calculation: Number of sick days/Number of full-time employees.
      • Calculated as sick days per employee.
      • If you have sick leave recorded in something other than days (e.g., hours), you should convert it to days. Example: 400 sick hours, a workday is 7.5 hours, meaning (400/7.5) = 53.33 days, which should be distributed among the number of employees, e.g., 7 employees, which becomes (53.33/7) = 7.6 sick days per employee.
      • Long-term sick leave is included in the sick leave figure, even though it may be high. Therefore, it may be a good idea to add a comment to the figure, as it can show that you are taking social responsibility by retaining a valued employee, even if they are on long-term sick leave.
      • Part-time employees should be converted to full-time equivalents.

    • Find the number of female board members.

    • Calculation: (Female board members/Total board members) * 100.
    • The figure is in percentage (only in danish).

Attendance at Board Meetings

    • Find the number of board meetings held within the reporting year.
    • Find the number of board members present at each board meeting held within the reporting year.

2.Calculation formula 

    • Calculation: ((Sum of board meetings attended per board member)/(Number of board meetings * Number of board members)) * 100.

CEO Pay Gap

    • Find the company’s director/CEO's salary.
    • Find the median salary for other employees

Water Consumption

  • Data for the company’s water consumption, which can usually be found with the company’s utility provider.

Energy Consumption

    • Annual consumption from utility companies, on invoices, or through self-service with login:

      • Data for the company's electricity consumption within the reporting year (kWh or MWh).
      • Data for the amount of district heating consumption in the company within the reporting year.
      • Data for the amount of any fuel consumption in the company, such as heating oil, natural gas, natural gas (X% biogas), and biogas.

2. Calculation Info, Formula, and Example

    • Energy consumption is calculated in MegaJoules (MJ) and is the total sum of your energy consumption (electricity, heating, and fuel).
    • The consumption is multiplied by a conversion factor. You can use the calculation example to help with your own calculation.

Share of Renewable Energi

1. Data for Calculation

    • The share of your total energy consumption that comes from renewable energy sources.

2. Calculation Info, Formula, and Example

    • Renewable energy is a collective term for bioenergy, wind energy, solar energy, geothermal energy, and other technologies that differ from coal and other fossil fuels by being CO2-neutral. The use of renewable energy sources contributes to reducing our greenhouse gas emissions and making Denmark independent of fossil energy.
    • The figure is calculated automatically om the platform as: Renewable energy share = (Renewable energy/Total energy consumption) * 100
    • The latest updated figure for the national average from the Energy Agency was 45.6%. You can enter this national average if you do not have an indication of how much of your total energy consumption comes from renewable energy sources.

Scope 1

1. Data for Calculation

    • Own and leased vehicles: Data for the company's fuel (petrol, diesel), hybrid, or electricity consumption.
    • Process emissions: Data for the company's greenhouse gas emissions related to production.
      Note! This figure should only be found if your company has production.

Scope 2

1. Data for Calculation

    • Electricity: Annual consumption from utility companies, on invoices, or through self-service with login.
      • Data for the company's electricity consumption within the reporting year (kWh or MWh).
    • Heating: Data for the amount of district heating consumption in the company within the reporting year.
    • Data for the amount of any fuel consumption in the company, such as heating oil, natural gas, natural gas (X% biogas), and biogas. It's worth noting that fuel figures will be included in scope 1.
