Full-Time Workforce (FTE)

FSR - Danish Auditors states that the FTE figure should include:

• A calculation of the average number of employees, i.e., full-time employees + compensated overtime + converted hourly employees.
• Temporary employees/temps converted to full-time equivalents. According to the State Administration, everything from employees' paid vacation, absence, sick leave, maternity leave, and compensatory time off should be included in the FTE figure.

    • Note! "other" management positions depend on the company's structure and can be freely defined by the company. For example, you could define it as all employees with management responsibility.

• • The figure is calculated automatically on the platform as: (Number of women in management roles/Total management positions) * 100. This gives you the percentage of women holding management positions.
  • Upper management includes the executive board and employees in leading positions with personnel responsibility and/or professional responsibility. You should choose one approach that suits your company's structure.

Gender Pay Gap

  • Find the median salary for the year for all female employees in the company.

• • Calculation: Median male salary/Median female salary.
  • The median is the middle number in a sorted list of numbers from lowest to highest.
    

    • Example 1: 1,5,7,12,13: the median is 7.

    • Example 2: 6,7,9,12,15,16: the median is (9+12)/2 = 10.5.

• • When calculating the gender pay gap, it is important to note that it is not a percentage being calculated. Instead, it is the ratio calculated from the median values.

Employee Turnover Rate

1. Data for calculation

• • Find the total number of employees (FTE) for the reporting period (12 months in total).
  • Find the difference from the previous reporting period (12 months in total) in the number of employees (FTE).
    
    • Example of the difference between 2022 and 2023: 2022 = 9.6 FTE → 2023 = 8.6 FTE → difference = 1 FTE.

• • The figure is calculated automatically on the platform as: ((All departing employees, both voluntary and involuntary)/Total employees) * 100.
  • The figure is in percentage.
  • Retirees count as involuntary departing employees. We recommend that apprentices and interns not be counted as either voluntary or involuntary departures, as they are still in training.

Customer Retention Rate

Sick Leave

1. Data for Calculation

• • Find the number of sick days per full-time employee.
  • Find the number of sick days per part-time employee.

2. Calculation info, formula, and example

• • Calculation: Number of sick days/Number of full-time employees.
  • Calculated as sick days per employee.
  • If you have sick leave recorded in something other than days (e.g., hours), you should convert it to days. Example: 400 sick hours, a workday is 7.5 hours, meaning (400/7.5) = 53.33 days, which should be distributed among the number of employees, e.g., 7 employees, which becomes (53.33/7) = 7.6 sick days per employee.
  • Long-term sick leave is included in the sick leave figure, even though it may be high. Therefore, it may be a good idea to add a comment to the figure, as it can show that you are taking social responsibility by retaining a valued employee, even if they are on long-term sick leave.
  • Part-time employees should be converted to full-time equivalents.

• • Energy consumption is calculated in MegaJoules (MJ) and is the total sum of your energy consumption (electricity, heating, and fuel).

Share of Renewable Energi

• • Renewable energy is a collective term for bioenergy, wind energy, solar energy, geothermal energy, and other technologies that differ from coal and other fossil fuels by being CO2-neutral. The use of renewable energy sources contributes to reducing our greenhouse gas emissions and making Denmark independent of fossil energy.
  • The figure is calculated automatically om the platform as: Renewable energy share = (Renewable energy/Total energy consumption) * 100
  • The latest updated figure for the national average from the Energy Agency was 45.6%. You can enter this national average if you do not have an indication of how much of your total energy consumption comes from renewable energy sources.
